Part time Administrative Assistant to the Executive Director

Job Summary:

Provide administrative support for the Resource Development team, Executive Director and Finance Director

Essential Duties and Responsibilities:

  • Check general Mutual Ground email and forward information to appropriate staff person
  • Provide administrative support for Resource Development staff in whatever capacity is needed
  • Work in conjunction with Development staff to ensure excellent donor relations
  • Assist Finance Director with recording cash receipts daily, accounts payable, and bank reconciliation
  • Maintain Networking agreements with outside agencies
  • Create and maintain contracts with outside agencies and organization
  • Maintain and manage Donor Perfect software, enter donor information, and generate reports as requested
  • Develop, print and send thank you letters to donors using Donor Perfect software and mail merge
  • Prepare for and attend monthly staff meetings, clean up after and prepare and distribute minutes via email
  • Coordinate all staff relations, staff appreciation projects and meetings
  • Order business cards, name tags, and other printed materials and brochures as needed
  • Keep inventory and order brochures and educational materials for clients
  • Keep and maintain up to date staff rosters, extension lists, org charts, and networking agreements
  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunication
  • Maintain executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Ensure operation of copiers by completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Organize and maintain news articles about the organization
  • Other duties as assigned by the Executive Director

Skills and qualifications:

  • Highly organized, able to set priorities and meet deadlines
  • Ability to communicate effectively verbally and in writing
  • Demonstrate personal integrity and professional image in all interactions with staff, Board of Directors and the public
  • Maintain all aspects of confidentiality at all times
  • Ability to utilize standard telephone/fax/copier equipment
  • Above average knowledge of a computer including MS Office, Internet and email applications
  • Excellent spelling and grammar skills, carefully proofs own work and work of ED
  • Excellent interpersonal relationship skills and ability to maintain professional boundaries
  • Acceptance and respect for cultural diversity, sexual orientation, and religious backgrounds
  • Maintain high ethical and professional standards
  • High School Diploma required
  • Must have previous experience as an administrative assistant
